Every form on humanintelex.com and where its data goes

Visitors can reach the team through seven forms. They all end up in the admin console, and the team also gets an email. The database save happens first, so a submission is never lost if email fails.

Endpoint 1

Candidate registration

One form on the Job Seekers page. It also handles applications to a specific role. Saved under Candidates.

Endpoint 2

Enquiries

Six forms across the site: homepage, contact, hiring brief, executive search, recruitment and training. Saved under Enquiries.

Hiring brief and contact forms

All six enquiry forms share one handler, so they save the same fields. Shorter forms simply leave the extras empty.

Behind the scenes

What happens when someone presses Submit

ChecksA hidden field only bots fill in (they get a fake thank-you and nothing is saved). A security token tied to the visitor's session. A limit of 3 submissions per 5 minutes from the same session.
ValidationRequired fields, email format, phone length, experience and pay ranges, consent ticked. Errors come back in the form without losing what was typed.
SaveThe record is written to the database along with the consent proof, IP and browser details. Applications to a role are linked at this step.
Team emailA notification goes to info@ with the details. For candidates the CV is attached. The visitor's address is set as the reply-to, so Reply goes straight to them.
Auto-replyThe visitor receives a confirmation with a reference: HIX-C for candidates, HIX-B corporate, HIX-T training, HIX-E general. Enquiries promise a reply within 4 business hours.
Thank-you pageThe browser moves to a thank-you page showing the reference number.

Good to know

Special cases

Job seekers on the short formsOn the homepage ("Registering as a candidate") and Contact page ("I'm a job seeker"), the person is saved as a General enquiry with an internal note saying they are a job seeker. They are then taken to a page asking them to register on the Job Seekers form, and their confirmation email links there too. They only appear under Candidates once they complete that form.
The same email registering twiceNo duplicate is created and the stored profile is not overwritten, because anyone could type someone else's email. Only blank fields are filled in, and the latest role, company, pay, notice and location are written into Internal notes with the date. The record goes back to new for review, except Shortlisted and Placed candidates, who keep their status. Any new CV arrives in the team email.
Email trouble does not lose leadsThe database save comes before the emails. If the mail server is down you still see the lead in the console. The visitor just does not get an auto-reply.
Repeat CVIf a returning candidate uploads another CV and the team email is delivered, the new file is removed from the server and exists only in that email. Their original CV stays on the profile.

Before launch and after changes

Testing checklist

Use a real inbox you can read. Use obvious test names so you can mark them Spam or erase them afterwards.

  • Submit the Job Seekers form with a PDF CV. Check Candidates, the CV download, the info@ email and the auto-reply.
  • Open a live job, press Apply, submit, and check that the candidate appears under that job's Apps number.
  • Submit the form without a CV. Confirm the profile shows no CV and the auto-reply mentions it.
  • Submit the Corporate brief and one short form. Check the HIX-B reference, type badge and email.
  • Submit the Training form and confirm the type reads training.
  • Submit the Contact form and homepage form. Confirm both land as General, and that choosing the job seeker option takes you to the registration prompt.
  • Try a 10 MB file and a .txt file to confirm the CV errors.
  • Register the same email twice and confirm the status returns to New (unless Shortlisted or Placed) with a dated note.
  • Clean up: set test enquiries to Spam, and erase test candidates from their profile (admin).
